We are seeking a highly organised and detail-oriented Scheduler / Administration Coordinator to join our Line Marking team at our Wingfield depot. This role is heavily focused on crew scheduling, operational coordination, and administration, supporting the smooth day-to-day running of the branch.

About the Role

This position plays a central role in coordinating works, managing documentation, and ensuring operational efficiency across multiple projects. You will be the key link between crews, clients, and management to keep jobs on track and delivered on time.

Key Responsibilities

Scheduling & Operations (Primary Focus)

  • Daily and forward scheduling of crews using internal systems (including Traffio)

  • Preparing and distributing work packs for scheduled jobs

  • Coordinating work programs and adjusting schedules as required

  • Liaising with clients regarding timelines, progress updates, and scheduling changes

  • Applying for and managing road permits and compliance documentation

  • Monitoring job completion and ensuring accurate recording of works

  • Coordinating with Maintenance to ensure vehicles and equipment availability

Administration

  • Processing crew daily worksheets for accuracy and invoicing

  • Managing and checking weekly timesheets prior to payroll submission

  • Data entry and maintaining accurate operational records

  • Ordering stock and processing purchase orders

  • Supporting monthly stocktake processes

  • Maintaining up-to-date forms and documentation for operational use

WHS & Quality Support (Secondary Focus)

  • Assisting with toolbox talk documentation

  • Supporting site audit documentation and compliance record keeping

  • Maintaining WHS and quality documentation in line with company procedures

About You

  • Strong scheduling or operations administration experience (civil, transport, construction or similar preferred)

  • Highly organised with excellent time management skills

  • Confident communicator who can coordinate across crews and clients

  • Strong attention to detail and documentation accuracy

  • Comfortable working in a fast-paced operational environment
